Email Handler Re-Architecture and Advanced Features

We have rolled out a substantial update focused on re-architecting the email handler system to improve robustness, speed, and functionality as daily volumes increase and in preparation for the upcoming POModule. Key updates include:

  • Parallel Workers for Email Processing: We’ve introduced parallel workers to handle email parsing, matching, and attachment processing separately, significantly improving processing speed and reducing bottlenecks.
  • Support for HEIC Image Format: Our system now supports HEIC (iOS native image format) for both direct uploads and email attachments. HEIC files are automatically detected and converted to standardized JPEGs for processing rather than being ignored.
  • Image Size Filtering: Users can now filter specific image sizes (e.g., embedded logos) to ignore processing. When viewing bill details, users can see the image size and "Click to Copy," then add that exact size to be ignored under Bill Settings. The unique image size ensures a low chance of false positives.
  • HTML Email Body Parsing: If an email doesn’t contain an attachment, the system will parse, collect, and record the HTML body. The email is then flagged as an "ignored email" and linked to the company ID. Soon, users will be able to view these emails in their mailbox interface and have the option to process them into a bill or receipt directly.some text
       
    • Original Email Viewing: When viewing bill or receipt details, users will be able to see the original email, providing additional insights and unlocking future global search capabilities.

  • Default Account for Receipts: A new feature in User Settings allows companies to assign a Default Account for Receipts, streamlining the process for AP teams by auto-assigning employee receipts via email. This reduces errors and saves time. Employees must send receipts to receipts@makershub.ai.
  • Vendor Name Cleanup in Integration Mapping: To avoid creating additional matches, we now automatically strip out commas and any text following them when copying and pasting vendor names (e.g., "ABC Supply, Inc." becomes "ABC Supply"). Empty spaces are also detected and ignored during the matching process to avoid confusion.

This update enhances the email handler's performance and efficiency, providing users with more control over document processing, error reduction, and workflow automation.
